About job

To assist Sales department by providing support by administering sales information system, database management, systemizing incoming traffic, ensuring data collection, processing insightful information, conducting necessary analysis and generating periodic reports. Provide all other coordination services for the department and perform measuring and monitoring progress against business objectives. Support the Head of Sales and marketing in an administrative function when necessary.


Key Responsibilities

Sales Administration & Documentation

  • Prepare, manage, and archive sales documentation (contracts, reservation forms, payment schedules).
  • Ensure timely and accurate data entry into CRM and sales tracking systems.
  • Coordinate with legal and finance teams to validate documentation and payment milestones.
  • Maintain organized digital and physical filing systems for all sales-related documents.

Reporting & Data Management

  • Generate regular sales reports, pipeline updates, and performance dashboards for internal stakeholders.
  • Support data cleansing and validation efforts to ensure CRM accuracy.
  • Assist in compiling market intelligence and competitor benchmarking for internal use.

🔄 Process Coordination & Compliance

  • Monitor compliance with internal sales processes and SOPs.
  • Support onboarding of new sales agents with process guides and system access.
  • Track and follow up on pending approvals, signatures, and documentation gaps.

📦 Logistics & Operational Support

  • Coordinate logistics for client meetings, site visits, and promotional events.
  • Liaise with marketing and project teams to ensure availability of updated sales materials.
  • Manage inventory of sales kits, brochures, and promotional items.

🤝 Interdepartmental & Client Coordination

  • Act as a liaison between sales, marketing, legal, finance, and customer service teams.
  • Support client communication for administrative follow-ups (e.g., document requests, payment reminders).
  • Assist in scheduling and calendar management for sales team leaders.


QUALIFICATIONS:

  • High school diploma (College degree an advantage)
  • Russian language strong advantage
  • At least 1 year experience in mixed-use or similar developments/projects
  • At least 2 year experience in client-centric industry
  • Driver’s Licence B category
  • Strong organizational and multitasking skills.
  • Proficiency in digital systems and tools
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a proactive approach to problem-solving.
